Contact notes that hold up in an audit
Each note records the date of contact, start and end time, whether it was face to face, by phone, or by video, who was present, and what was done. Required fields are enforced before signing, and every signed version is kept as a PDF.
A first draft of the summary, written from the note
Where your agency turns it on, staff can generate a draft visit summary from what they entered and edit it before signing. A separate review step checks the summary against instructions your agency writes. Staff remain responsible for the final note.
Supervision built into the workflow
Supervisors see notes waiting for review, approve them, or unapprove them with a reason so the author corrects and re-signs. That gives you a record of supervision alongside the record of service.
Units and billing kept in view
Authorizations record the payer, procedure code, units or amount, rate, and how a note converts to units. Billable notes export with their units and charges for the separate Revenue Cycle Management (RCM) module.

Frequently Asked Questions
What software do peer support specialists use to document services?
Many peer programs document in a clinical EHR built for therapists, or in spreadsheets. One Care Portal can be evaluated when the need is case management: an assigned caseload, individual contact notes with time in and out, goals and follow-up, supervisor review, and a billing-ready export.
Is One Care Portal a substance use disorder EHR?
No. It is case management software. It does not include ASAM assessments, clinical treatment plans, group notes, medication records, or drug-screen tracking. Programs that deliver clinical treatment keep their treatment EHR for that work.
Can it document group peer support sessions?
Notes are written for one participant at a time. Group session rosters and a single group note applied to several participants are not standard features, so a program that bills mostly group sessions should confirm fit before choosing it.
How does it handle 42 CFR Part 2?
One Care Portal stores signed consent forms as participant documents, but it does not manage Part 2 consents or track disclosures. Confirm your program's Part 2 obligations with your compliance counsel before storing substance use treatment records in any system.
